How do staff permissions and manager approvals work?
A permission has two values: Allowed or Needs approval — nothing is flatly forbidden. When staff hit an action that needs approval, a colleague who is allowed to do it picks their name and enters their PIN to let it through.
- Actions (manual stock adjustment, product management, checking out above the discount cap): one approval covers that one action.
- Views (cost & profit, Stats, Settings, backup & restore): an approval unlocks until the operator changes or the app goes to the background.
- The discount cap applies to manual discounts and is checked once at checkout; automatic promotions and points redemption don't count against it.
Factory defaults: Managers are allowed everything except backup & restore, with no discount cap; Staff need approval for everything, with a 10% cap. The owner is always allowed and can't be edited. To change it, go to Staff → Role permissions, tap Edit, and save once — it applies to everyone immediately.
Voids, returns, on-account sales, and purchasing deliberately have no permission; they only record who handled them. To review them later, use the activity log.
